  3. Check the margin

Include recorded delivery costs when reviewing whether the fee covers the work.

Example campaign expenses · USD
Recorded workBasisAmount
Production hire approved by your clientBillable$240.00
Internal creative reference purchaseNon-billable$60.00
Campaign costs recorded$300.00

Fictional example, before tax. The $60 internal cost reduces the project margin but is not an extra client charge. Review billable expenses before adding them to a draft.

Questions about expenses for agencies

Can I track campaign expenses without passing them all on?
Yes. Record project costs and decide which are billable. Costs included in your fee still matter when reviewing profitability. Do not add them as separate charges unless your client agreement allows it.
What if a production purchase is included in the retainer?
Record it as a project cost and check that it is not billed again as an extra. The cost can still matter when reviewing the account’s margin.
